How to use Navoxa
Everything the workspace can do, and how to do it. The short version: almost everything is editable — this guide shows you where.
1. Getting started
Click Create account, enter your company name, your name, email, and a password. Your company gets its own private workspace — no other company can ever see your data.
To open the workspace you'll choose a subscription plan (payments are handled securely by Stripe — you can switch or cancel any time). After that, the Launch App button in the top bar takes you straight to your dashboard, and you'll stay signed in even after closing the tab.
The Overview page greets you with live numbers: open orders, revenue this month, and your inventory tables.

2. Orders
The Orders page is your pipeline. Click + New order, fill in the form, and the order appears instantly for everyone in your company.
- Order ID — every order gets a generated ID you can keep, or overwrite with your own numbering.
- Status — change it right from the list with one click, no editing needed.
- Search & filters — the search box matches IDs, customers, descriptions, and any custom field; dropdowns filter by status or facility.
- Click an order's ID to open its detail page with every field, its processes, and its connections.

3. Custom fields
Most apps force their forms on you — Navoxa doesn't. Inside any order form, click ✎ Customize fields:
- Rename any field — including built-ins like Customer or Amount.
- Remove fields you don't use. Data already saved on other orders is never deleted, and a ↺ chip lets you restore the field later with its data intact.
- Add your own fields — text, long text, numbers, dropdowns with your own options, or dates; mark them required if needed.
Fields are per order: customizing an existing order changes only that order, while customizing during + New order also becomes the starting layout for future orders. Inventory and client tables work exactly the same way — open any item or client and use the same ✎ Customize fields button. (There, columns belong to the table, so a change applies to every row in it.)
4. Custom statuses
In Settings → Order statuses you design your own pipeline: rename the defaults, pick colors, add stages like "In production", or remove ones you never use.
Two checkboxes keep your numbers accurate: Open (orders in this status count as "in progress") and Revenue (orders in this status count toward revenue).
5. Processes
Open any order and scroll to Processes — the steps your team follows to complete it (e.g. Cutting → Assembly → Quality check). Add, edit, and delete steps freely, and give them custom fields of their own. Each order's process fields are independent.
6. Connecting inventory & clients
When creating or editing an order you can attach:
- Inventory — tick "Connect this order to inventory", choose a table, and optionally a specific item from it. The order's detail page links straight to that table.
- A client — tick "Attach a client", pick the client table, then the client.
Don't need these pickers? Hide them in the field editor (they're the "connector" rows).
7. Inventory
Inventory is organized in tables — one per product line, material type, or however you think about stock. Each table has its own columns, edited with the same ✎ Customize fields button inside the item form.
- Adjust quantities with the − / + steppers — safe even when several people click at once.
- Items show In stock / Low stock / Out of stock badges automatically — and if you just keep a catalogue rather than stock levels, hide the Stock status column, or remove Quantity entirely, in the same field editor.
- ⚙ Table settings (top right) renames the table and sets its low-stock threshold.
- Search items or filter by stock state.

8. Clients
The Clients module works exactly like inventory: create tables ("Wholesale", "VIP"…), design their columns, and add clients. Attach them to orders, search them, and export them.

9. Team accounts
On the Team page (owner only) you create logins for your people — each with a username, password, and access level:
- Administrator — manage data, fields, and workspace settings.
- Editor — create and edit orders, processes, and inventory.
- Viewer — read-only access.
Team members sign in from the Team member tab on the sign-in page using their username. The number of team accounts depends on your plan.
10. Facilities
On the Aurum plan and above, create facilities for each of your locations. Orders and inventory tables can be tagged with a facility, and team members can be assigned to specific facilities — they'll only see their own location's data.
11. Analytics & exports
On the Aurum plan, the Analytics page shows revenue and order trends over the last six months, your pipeline by status, and your busiest customers — live.
The Exports section downloads your orders, inventory tables, or client tables as CSV files (they open in Excel or Google Sheets), custom fields included.

12. Settings & modules
- Workspace profile — rename your company or yourself; changes appear everywhere instantly.
- Modules — switch Orders, Inventory, Clients, Team, or Facilities on and off. Turning a module off hides it; your data is kept and returns when you re-enable it.
- Order statuses — see section 4.
- On the Overview, the little eye icon on the revenue card hides or shows revenue for your whole workspace.
13. Billing
Settings → Billing shows your current plan. Manage subscription opens a secure Stripe portal where you can switch plans, update your card, download invoices, or cancel — no emails, no waiting.
14. Suggestions
Missing something? The Suggestions page in your workspace sends your idea directly to us. We read every one — and you'll see the status flip to Done ✓ right there when it ships.
